A Compliance-Driven OMS Powering Nationwide Controlled-Substance Fulfilment

Overview

From Legacy Bottlenecks to a Future-Ready Platform.
A fast-growing U.S. 503B compounding pharmacy modernized its Order Management System to handle Schedule I & II controlled substances across all 50 states. The new multi-location eCommerce and OMS platform scaled to thousands of users, automated regulatory routines, and introduced analytics to forecast demand—enabling smoother fulfilment, faster ordering, and stronger business resilience.

The client is one of the fastest-growing pharmaceutical companies in the U.S., known for deep 503B compounding expertise and a proven compliance record. With sterile, ready-to-administer injectables manufactured at multiple facilities and distributed directly to hospitals, they needed a custom order management system that could keep pace with rapid adoption, shifting regulations, and volatile market demand—without compromising on safety or user experience.

Challenges

Solutions

Challenge

Scaling a legacy OMS for rapid adoption.
The existing online order form couldn’t support large B2B loads or unlimited user growth, restricting new registrations and slowing order processing.

Solution

Experion ran a structured discovery phase to map pain points, align stakeholder priorities, and define a phased modernization roadmap. We then re-engineered and expanded core order management system capabilities, enabling shared B2B accounts, multi-user access, recurring orders, and scheduled fulfilment.

Challenge

Manual, time-heavy compliance processes.
DEA approvals and controlled-substance workflows were largely manual, consuming time and increasing risk.

Solution

We integrated DEA secured digital certificates and Legisym’s Controlled Substance Ordering System (CSOS), automating signing and validation steps to reduce effort and improve compliance confidence.

Challenge

Poor demand visibility in a volatile market.
The client lacked reliable data collection and eCommerce analytics, making it hard to anticipate exponential growth or prepare inventory.

Solution

We embedded analytics and eCommerce tracking (including Google Analytics and transaction insights) to synchronize demand with supply, improve forecasting accuracy, and support strategic decisions.

Challenge

Non-intuitive interface hurting customer experience.
A rigid UI made ordering cumbersome and blocked loyalty-style improvements.

Solution

Experion designed a modern, intuitive OMS experience focused on hospital workflows—simplifying ordering, recurring demand setup, and invoice visibility.

Outcomes

By transforming the legacy system into a scalable, compliant, analytics-driven OMS, we delivered outcomes that strengthened nationwide fulfilment and customer adoption:

  • 8,000+ users actively accessing the portal for order processing
  • 2,000 hospitals ordering controlled substances through a single platform
  • Nationwide fulfilment across all 50 U.S. states with CSOS/DEA compliance
  • End-to-end automation of manual regulatory routines, lowering fulfilment overhead
  • Accurate inventory and real-time demand tracking, reducing disruption risk
  • Improved hospital experience with recurring orders, future/weekly demand marking, overdue-invoice alerts, and smoother payments

The platform now serves as a reliable backbone for the client’s growth—helping them stay compliant, responsive to market shifts, and ready for what the healthcare landscape throws next.
